| Each container in the system can have a lot of information associated with it, all of which can be found in the Container Add and Edit dialogs. All data entry for containers is accomplished here. Containers are normally added to the system using scanners, but they can be added manually as well. |
Each time you enter an area of RS-SQL, you will see a blank white screen. This screen is called a grid. The RS-SQL Container Grid allows you to view and manipulate data in many different ways. It includes several 'Grid Specific' menu items such as Load Refile List From, Urgent Notification, Global Edit Contents (to name a few), as well as several 'Grid Specific' pushbuttons.

A query can be thought of as a question you ask the database, or a command to display information. If you want to find out information about an item, you must query it onto the grid. Container Query allows you to load the exact items you want onto the grids. Through Query dialogs, you can determine precisely what criteria is needed, to access what you need to load. |

| A Refile simply means putting things back into storage after the client has had them out. RS-SQL allows you to scan the barcodes of filefolders that need to be returned to containers, as well as create a report that tells you what containers they should be in and where they are located. Called a Refile List, you may print a hard copy, or send it to an RSMobile handheld, that then directs you around the facility and validates that the files have been refiled. |
Each filefolder in the system can have a lot of information associated with it, which can be found in the Filefolder Add and Edit dialogs. All data entry for filefolders is accomplished here. Along with structured fields, RS-SQL offers you the option of entering free text, to describe each filefolder and which your customers can define. This information can be searched on later, to help you find it. |
The Filefolder Tally menu option is used to count the number of filefolders that are in containers listed in the Container Grid and display the information. The results are sorted by Account Code and then Container Code. |

Billing Options

| Objects are all the physical items that exist in your record center and that you sell. The system is shipped with several standard Objects, such as tapes of various shapes and sizes. RS-SQL allows you to create sublists for these tapes, as well as for containers and materials that are sold or delivered. |
You can create pre-workorders for jobs that are to be done in the future. You can also create standard workorders for delivery and pickup; accessing and receiving items; destroying containers, files and tapes; and selling services and supplies to your customers. |
Accounts can be set up through the Account option of the Administration - Critical Set Up Program of RS-SQL. Every customer will have a Level 1 Account. Some will also have one or more Level 2 Accounts and possibly a Level 3. Using this function, you are able to fully identify your clients and customize their accounts to suit their needs, as well as yours. |

| RS-SQL Imaging on Demand provides immediate access to records for your clients. Rather than picking and delivering a file, a file is picked, the page or pages are scanned and the file is returned to its storage location. The image of the file can then be accessed via a secure web connection. A Document Imaging Workorder allows you to handle a request that documents be scanned. You can only add documents to be scanned, other services and charges/credits to the Document Image Workorder. You cannot request documents to be delivered, picked up, or destroyed. |
An image of a specific document can be scanned and stored in the database, for your customer's rapid access and viewing in RSWeb.NET. They can then see, add, edit, delete, or print the image. The image description displays above the image. |
As you fulfill services requested by your customer, RS-SQL automatically captures each activity performed and it appears on their invoice. Pricing can be standardized or customized for customers, departments, or even cost centers with the same account; flat rates or quantity price breaks established; and you can bill storage by the item or cubic foot. Multiple formats (from basic one-page invoices to detailed, multi-page listings) are available from a service or work order level, showing complete detail. |
