26 Reasons You Need the New RSMobile Technology in
Your
Record
Center
TODAY
The
Symbol Technologies handhelds: The
PPT8846,
the MC50 and
the MC9000 represents the future of
mobility in record storage and management centers. Known collectively
as the RSMobile Hand-Helds, they lead
the way in cutting edge scanning technology not only
in the record storage industry but within portable
scanning solutions worldwide. The hand-helds give you the
power of ¼ VGA user interface, supports a tremendous
amount of memory and provides a flash memory card. In
terms of O’Neil’s development for the hand-held device, there are
many major advances listed in this document that are
available today and make this a must have solution for
the record center. Yet this is a long-term investment
and development effort. There is much more slated in
the months and years to come. All future O’Neil
development efforts will be slated for this device NOT
its predecessor the PDT3100, which has been given an
End of Life notice by Symbol Technologies.
As you will see,
with the Hand-Helds you are dealing with all the benefits of
a user friendly, Windows Pocket PC but they really
come alive when combined with the
advanced functionality developed in our RSMobile
software. Don't be fooled by imitations:
O'Neil's RSMobile Software and Symbol Technologies
Hardware create an unparalleled combination.
Features of RSMobile
1)
RS-Mobile/2-D Scanning*
– Here’s the concept: scan many items, print a 2-D
barcode, place the 2-D barcode on a tote/pallet/workorder,
scan the 2-D barcode and each item is listed
individually as if you scanned each again. The items
are verified in the database. This is huge for your
customers. This is not just for documents, think
large tape rotations. Put hundreds of tapes into a
tote, seal it, deliver it, scan it, viola, verified!
How about destruction? Scan items to a pallet, print
the 2-D barcode, shrink-wrap. When it comes time to
verify destruction simply scan one barcode vs. 40, not
to mention the labor involved in moving the boxes.
This has many, many applications.

2)
Document Insert List
- Are you being asked to place documents into
filefolders?
Well you now have everything your record center staff
need to complete the interfile process right on their
hand-held.
There is now full
location information (including Building, Room, Floor)
included as well as the container/filefolders barcode
number, customer's code and short description of the
file where the document is to be inserted and
comments/description of the document itself on the
screen of the hand-held.
3)
Re-assign Anywhere:
You can re-assign a barcode ANYWHERE in the software
where you can scan a barcode. In the past on the
PDT3100 you could only re-assign when you pick a
container. Now you can complete this anywhere
including warehouse moves. This feature alone is a
huge time saver.
4)
Download via access points of 100 feet or greater or
via GPRS*:
No need to stand in line to download and communicate.
Point, scan and communicate… it’s all done via
wireless communication using a local wireless access
point or the cell phone data network.

5)
Queue Jobs to Individual Hand-Held devices:
You have the option to queue jobs to a particular
hand-held
user rather than just have users select their own
work. This gives greater control of work allocation
in larger record centers.
6)
Simpler Interface:
Big, on screen buttons that can be selected with your
finger. No stylus is required. This makes the unit
much simpler to navigate than the PDT3100 with its
limited screen and keys. You can see all the options
on the main screen. The windows interface is both
intuitive and user friendly.
7)
View Complete Lists:
You now see lists of items whenever you are carrying
out an
operation, rather than just viewing the current item.
For example, in picklists
you always see everything on the picklist.
8)
Show un-scanned items only:
An enhancement on the above, in
parts of the software you can limit that list to only
show you everything yet to be scanned. This is great,
for example, when carrying out a large delivery or
items that need to be destroyed and so on.
9)
Un-itemized Items Marked with an Asterisk:
You
can see un-itemized items (e.g. in a pickup) much more
easily as they are identified with an asterisk (*) in
front of them.
10)
Workorder Automatically Validated:
When typing or scanning in a workorder number, the
workorder is validated against the database inside the
Hand-Held. You can, however, add a new workorder on the
fly, if required.
11)
View Account Information:
At anytime, when en route to pick ups, you can see
detailed pickup/account information. Status, as well
as the full address and contact information of your
customer. This includes phone and fax number. This
is a great tool for both new drivers and existing
drivers who may be running late. The driver can
actually call the customer. How impressive that would
be!
12)
View Item Properties:
In Record Center Ops, all item properties (Alt-Id,
Object Type, Return Date) are seen clearly by the
operator on the screen when an item is
scanned, e.g. for a move or audit. For example, now
your team may see a one cube box in front of them and see
a two cube box indicated on the hand-held. Problems can be
resolved at each step within your operation. (See
item 13).
13)
GUI Interface Makes Navigation Easy.
The GUI interface displays more information on one
screen. For example the alt code, object type and
return date of each item scanned is displayed on the
same screen as the location and item barcode in Record
Center Ops. To change them all you need to do is tap
the word "Properties" on the screen and you are ready
to enter a new alt code, object type or return date.
No need to remember function keys. The GUI
interface also allows the user to have tabs on PDT
screens...like the Windows interface everyone is used
to.
14)
View Totals for Scanned and UnScanned:
Totals for scanned and to be scanned items are clearly
shown on refile lists making it easier to see your
work progress.
15)
Urgent Notification:
A
pop up message box appears on-screen when an
urgent item is found. This is much clearer than the
current PDT’s audible warning and makes sure you don’t
miss an item.
16)
Now Your RSMobile Users Only Need to Know How to Use
the Scanner:
The RS-SQL Client (program) does not need to be
running: Your
night or weekend crew can work without the need for
any PC to be on if they use radio communications.
Without wireless communications a PC just needs to be
on and connected to the network with a cradle. Still
RS-SQL doesn't need to be running. This means no
training on the RS-SQL end for RSMobile hand-held users. All
they need to know is how to use the scanner. No
RS-SQL user licenses used for the communications.
Only RS-Mobile (device) licenses used and you get
this license when you buy the hand-held!
17)
Ability to queue up jobs for users by date, time and
user:
With the RSMobile Hand-held sessions are created by anyone using
RS-SQL...CSRs, OpsMgr, etc. When the session is
created it is given a scheduled date/time and a
destination user or device. When that user
or device next downloads data to their hand-held, all
sessions whose scheduled date/time has arrived are
automatically sent to it. Think of its uses:
a)
An
urgent order comes in. You want it to go to the
next person who is available to pick the order.
Set everyone in the warehouse as the destination.
The next warehouse person who downloads to their hand-helds
gets the urgent order and it is marked as sent to a
PDT. So it won't go to the other people because someone
has already received it.
b)
You want to queue up picklists for your warehouse
staff to pick overnight. You want them to pick the
early morning orders first and the late orders last.
By using the scheduled date/time of the session you
can create picklists to be picked at various hours
during the night shift. Only the sessions whose
scheduled date/time has arrived or passed will be sent
to the hand-held when it requests a download from the
database.
c)
You’re going on vacation but you are the CSR who is in
charge of a tape rotation schedule for a large
customer. You want to make sure that the rotation
occurs seamlessly while you are gone. Queue up the
scheduled pickups and deliveries for each day before
you leave for vacation. They will automatically be
ready for download for that date, time and even user
if you desire. Now you can go on vacation and enjoy
yourself without worrying about having messages from
the customer when you return!
d)
You are preparing the route ops sessions for
tomorrow. You are not sure which driver will do the
north route. However, the hand-held named "NorthRoute" is
always the one used for this route. Queue up the
sessions for that hand-held device and whoever takes
the route will get the route ops automatically loaded.
e)
At
7:00PM you pull your delivery truck onto the dock.
You load tomorrow’s orders into the truck, scan the
items and print a 2D barcode. You lock the truck's
rear doors and seal it with the 2D barcode. When the
driver comes to work in the morning he downloads his
workorders to the RSMobile Hand-Held while he is standing at the
coffee machine (assumes using wireless
communications), scans the 2D barcode as his truck
validation, gets in his truck and is gone. He
automatically has validated EACH INDIVIDUAL ITEM with
that one scan. How much time did that save?

18)
The RSMobile Device is fully translatable.
Do your drivers complain about the terminology on the
old PDT3100? Do they make stupid mistakes because they
don't understand the menu options or the on-screen
messages? Translate them into the driver's lingo.
Now what's their excuse?
19)
A
flash memory card means you won’t loose information:
With the optional flash memory card the database of
all the info in the PDT is kept on the chip. Run over
the hand-held with a forklift and the data is still
recoverable. Remove the flash memory card from the
damaged device, place it in a working device and send the
info to the database.
20)
The RSMobile Hand-held is an internet-enabled device:
What does this mean? The hand-held can update the database
and receive new orders from the customer site just by
using their internet connection. This assumes that
the customer has wireless network because they won't
have a hand-held cradle. This truly is the way of the
future.
21)
Think SALES! The RSMobile display can be projected
onto a PC monitor or projector.
Those demos for your customers just got easier. The
software required is included on the RS-SQL CD. How
impressive would it be to show the customer what the
warehouse person or driver sees if they try to deliver
or pick the wrong box? How about showing them the
list of items to deliver with missing items? You
illustrate you’ll never miss a box. This
demonstration sells your investment in technology to
your end user as well as gives them a feeling of
security.
22)
Workorders on the fly just got an extra level of
accuracy:
We all know that a pickup workorder can be added to
the PDT3100 'on the road.' The record center creates a
pickup workorder and calls the driver with the
number. But with the PDT3100 if the driver types in
an invalid workorder number exceptions are created
when they dump the PDT3100 to the database. Someone
has to a) notice the exceptions, b) know how to
correct the exception which usually requires research
and c) reprocess the exception. With the
RSMobile hand-held if
the workorder number the driver has entered is
incorrect he is notified when he uploads data from the
device to the database. The workorder is not removed off
the hand-held until the workorder number is corrected.
However, all the other work in the hand-held is uploaded.
So all the driver has to do is correct the workorder
number and upload again to send that last workorder.
23)
Refiles and Refile Lists are as simple as pressing a
button:
A group of files or tapes for refile may be scanned
and with one menu option on the RSMobile hand-held the list of
scanned filefolders is sent to the database and the refile list is automatically sent back.
Easy as pressing a button.
24)
Materials and
Services can now be updated on the hand-held:
There has always been a potential for lost revenue
when a driver carries out additional services or
delivers materials and simply writes the quantities on
the workorder. What happens if the workorder
does not get back to the office? What happens if
you don't update RS-SQL with the new quantities?
Lost Revenue. With the RSMobile hand-held,
the driver simply selects materials or services,
enters the quantity and.. that's it. When he
returns to the Record Center and uploads his data the
workorder is updated automatically.
25)
Wait No More:
Unfortunately we cannot guarantee that your drivers
won't have to wait but we can ensure you record the
time and, if you wish, charge for it. Just like
a taxi, your delivery drivers now have the
capabilities of a Wait-Time clock to accurately track
the time.
26)
Signature Capture for
all or individual services:
No more looking through old workorders to find out who
signed for the delivery. RSMobile gives you the
ability to capture signatures on screen, print it on a
receipt and transfer it to RS-SQL for historic
lookups. RSMobile also allows you to have
multiple signatures per workorder, for example, one
person wants to only sign for the delivery,
another person will only sign for the pickup and a
third person is willing to sign for the materials
being delivered. No problems - RSMobile can allow
individual signatures for each activity or a "Sign for
All" option.
