This is
proving to be a quite a month for us all here at O'Neil Software so this
is a longer newsletter than usual but, don't worry, we haven't left out
any of your favorite section. Why is it a bumper issue? Well,
we
have enjoyed a fabulous PRISM conference and, at the same time, been
working hard to plan our move to new offices. As always, we want to
make sure that everything we do has long term benefits for our customers
and so the office move has some nice surprises thrown in. You can
read about these two events in the What's New section.
Also
included in this edition is a great question from a customer regarding
the handling of potential duplicate tape barcodes and a very important
reminder about performing backups can be found in our Technical
News & Views section.

What's New at O'Neil Software
|

WE
ARE ON THE MOVE...
As
announced in our recent Strategic Partner Magazine, O'Neil Software's
Corporate Office is moving to new premises. Over the past few years
O'Neil has grown to encompass over 700 installations in 48 countries.
The move to this new office will not only ensure that we can provide the
space for technical support and development to work more closely together
but we are also taking the opportunity to introduce a new computer
infrastructure linking our offices in New Jersey, Florida, Brazil, Milton
Keynes & Brisbane. We are also centralizing on a new standard email domain
(oneilsoft.com) and bringing on-line a state of the art telephone system
so you can get to the person you wish to speak to much more quickly.
The centralization will immediately bring benefits to users of our
technical support desks with immediate access by all O'Neil staff to
complete and up-to-date accounts details...wherever in the world you may
be.

The
move will be taking place during May and we hope to be settled in for the
first week of June. Please make a note of our new address. The telephone

Beginning May 19th,
2003 our new, global "oneilsoft" email domain name will come into
effect. For a short time, you will still be able to send emails to the old
email addresses of all staff but this will begin our transition to the new
standardized addresses. The old email addresses usually end in
@oneiluk.com, @oneilau.com, @oneilinc.com or oneileast.com).
All
email that is received going to these old addresses will be transferred
automatically to oneilsoft.com from May 19th, 2003. This automatic
forwarding will continue until the end of June 2003; thereafter many of
them will no longer exist. The new naming convention will be: Email:

Mickey Mouse ears but we certainly tried. We did, however, get to
see so many of you and were delighted that you made the trip and took time

user forum we were able to share exciting news about our office move,
RS-SQL 2, RS-Mobile, O'Neil EXPRESS on-line training, our Strategic Vendor
Partners and some of our thoughts for the future.

there is plenty of work ahead but we thank

SECURING
YOUR ACCOUNT ACCESS
When adding a
new user, it is easy to limit the accounts that the user is allowed to
see. This can be very useful, not only for security, but also for
controlling inexperienced users, such as temporary staff. For
example, if a temporary warehouseman is re-locating a specific account's
boxes or files, it may be simpler to limit his access to that one
account and then he cannot accidentally run huge queries or reports of
all the accounts on your system as the security will prevent him from
doing this. This is also very important when setting up remote
access or RSWeb access. So how do you do it? When you
add the user, simply ensure that you correctly set the Account Access
option:

The options for Account Access are ALL by Default and NONE by Default. You must choose one or the
other, and then you can edit the Account list as necessary.
All by Default -
When this option
is chosen for a user, he is given access to all accounts on the system. If
necessary, accounts can be removed from his access individually through the Account Access grid (described later
in this section). Any accounts listed on this grid in connection with this User
are no longer accessible for this User.
NONE by Default
- When this option
is chosen for a User, he is initially unable to access any Accounts. If necessary, he can
be given access to specific Accounts only through the Account Access grid.
So that remote user, RSWeb user, temporary data entry clerk or warehouseman can
only see the accounts you want them to see.

WORKING WONDERS
We would like
to thank so many of you for the great comments about our technical
support and especially the use of Webex. It really is proving to be an
excellent support asset and, in the words of one happy recipient,
straight from our evaluation form :

EVER get rid of WEBEX. It is the best thing in the entire world. It has
truly saved our business. There is no way I would be able to follow all
the instructions needed to bring us back to the living. Thanks so much."
BACKUP WARNING !!! ARE YOU DOING IT RIGHT?
Every month we
help customers who have had problems where they need to restore a backup
but this month saw two client sites report hard drive crashes within 10
days of each other. In both cases they had utilized the RS-SQL
Backup Wizard correctly, but not completed the process as the files were
not being copied to another hard drive or to external media. They have
potentially lost all of their data.
It is
essential that everyone backs up their RS-SQL database, copies the
backup files to a medium (that can be stored off-site) and periodically
tests those backups to ensure they can be successfully restored.
Are you doing this? Don't assume...Check and, if in doubt, contact
your local support desk so they can help you with this vital process.
Don't get caught out. Our manual makes the point very clearly:
-
"All backups are performed to disk, not tape.
It is up to you to transfer backup files to tape for rotation. Database backup
files older than 24 hours are removed after each successful database backup. Log
backup files older than three days are removed after each successful log backup.
It is very important that you place each backup file on tape before it is
automatically removed with the successful completion of the next backup. Without
backup to tape, your business is very vulnerable to serious data loss due to
hard disk failure."

Here’s
a question asked by an O'Neil Strategic Partner during the last month of
our technical specialists. Why not test your knowledge by seeing if you
know the answer?
Question: I am receiving some
tapes into my library that already have a tri-optic barcode on them. The
length of the barcode is 6 characters but I am sure the numbers will be
duplicates of barcodes I have already got, as other companies use the same
barcodes. I don't want to re-label
these. What can I do?
Answer:
The solution
may be to add a prefix or suffix to the barcode so it would be unique to your RS-SQL system. The Prefix/Suffix option in the PDT3100
scanner will allow you to scan these items and automatically apply a prefix or
suffix. So now a barcode received as 123456 could be prefixed with a customer
code, say, ABC to give a unique entry in your RS-SQL database of ABC123456
and you do not have to re-label the customers' item. In this
example, I "changed" the identity to a 9 character barcode length so that
would need to be set up in RS-SQL first.

Windows/Office - Tip of the Month

Navigate the hard disk
with Run
In Windows XP, you can
quickly access the Run dialog box by pressing the [Windows] + R keyboard
combination. Once the Run dialog box is open, it's possible to launch
any number of applications by simply typing the name of the executable
file.
In
addition, you can navigate to specific locations on your hard disk by
using special Run command shortcuts. For example, if you access the Run
dialog box and type a backward slash [\] in the Open text box, when you
press [Enter], Windows Explorer will launch and display the contents of
the root directory.
Here are a few more hard disk navigation shortcuts that you can access
through the Run command:
-
Type three consecutive periods to display the My
Computer folder.
-
Type two consecutive periods to display the Documents
And Settings folder.
- Type one
period to display the Documents And Settings folder for the current
user.
